Assure the client that you're proactively working to resolve it by exploring alternatives, expediting orders, or sourcing locally. Present solutions, such as substituting materials or adjusting the schedule to focus on other tasks. Reassure them that their project remains a priority and emphasize your commitment to minimizing impacts. For Ex: "Due to unexpected Procurement disruptions/issue, we're facing a cement shortage that may affect progress of upcoming concreting. We're proactively sourcing alternative RMC plants for concrete and Procuring Concrete to avoid delays. We'll keep you updated as we resolve this swiftly."

    For any construction project, the project schedule covers the whole project from start to finish. this chart shows which activities are to be done, when and for how long. Most activities are linked while some are dependent on another. In any case of material shortage, this delay is quantified in terms of time, which is translated to the overall project timeline. Its effect on linked actives would be seen and the subsequent actives are given higher priority. Thereby reducing time spent on them, spreading the time delay over future actives ultimately reducing or if possible eliminating the effect of the delay. After this is done, the final schedule is reported to the client. who now sees no cause to worry.

    First is to have good relationships with suppliers, they will often keep you inform of any potential issues with material supply, it’s key to keep them updated with the dates you require the material. Once you have this knowledge, keep your client informed and give them a heads up of potential issues, this way you can plan accordingly to minimise the impact on programme. You’re on a journey through the project together so if the trust and relationship is there, the problems are easier to handle. Be upfront and honest and always have a back plan to present.
